How is the depletion date calculated? Why does it look different than I expected?

The depletion date estimates when Inventory Ally expects an item to reach zero based on the information currently available. If the predicted date doesn't match what you expect, review the areas below to ensure the system is working with accurate inventory and usage data.

What to review

Understand how the depletion date works

The depletion date predicts when an item is expected to reach zero inventory.

If the predicted date falls before your next scheduled review, Inventory Ally identifies the item as Low Stock during the current review cycle. If the depletion date falls after your next scheduled review, the item may not appear on your current review list because Inventory Ally expects sufficient inventory to last until the next scheduled count.

Review the estimated quantity on hand

Compare the item's Estimated Quantity on Hand with the actual quantity available in your hospital. Entering accurate inventory counts updates the estimate and helps ensure depletion dates reflect your current inventory levels.

Review recent usage

Review the item's recent usage to confirm it aligns with your expectations. Unexpected increases in usage can cause inventory to deplete faster than anticipated and move the predicted depletion date forward.

Review sales data

If the item uses sales data, confirm that it is mapped correctly.

Open the PIMS Mapping Tool and review the item's usage history to verify that data is flowing correctly. Depletion dates are calculated using the data available to Inventory Ally. Accurate sales data and consistent inventory counts help keep those predictions reliable.
