How do I manage DEA/DVM licenses, understand order submission, and fix rejected items with my Midwest integration?

Using Your Midwest Veterinary Integration

Once Midwest is connected (see Enabling Midwest Veterinary Integration for Shopping Cart & Order History for setup), approved orders go straight to Midwest — there's no separate cart to review on their site. This guide covers what to expect day to day.

Step 1: Confirm the connection is active

  • Go to Integrations in the left-hand menu.

  • The Midwest Veterinary card shows an Active badge with a Disconnect link once connected.

Step 2: Keep your DEA/DVM licenses current

If your practice orders controlled substances through Midwest, open the Midwest integration screen and set (or update) your default DEA License and DVM License. These are pulled from the licenses Midwest has on file for your account, you can see them here.

Step 3: Remember that orders submit immediately

Midwest places your order the moment you approve it in Inventory Ally — there's no follow-up review step in Midwest's own portal. Double-check quantities and items before approving your order list.

Step 4: Handle order errors

Midwest can decline an item — most commonly because a required license isn't on file, or the item isn't available to your account. When that happens, the whole order doesn't go through, not just the flagged item, so nothing partially submits.

The affected item shows up as a cart error in Inventory Ally, but a finalized order can't be edited directly — use the live chat button in the bottom-right corner of our website, or email [email protected] and we'll unfinalize it for you. From there, update the license selection or remove the flagged item, then resync to resubmit.

Step 5: Track order status

Inventory Ally pulls Midwest order status and invoice details back automatically, so you can confirm an order went through without logging into Midwest separately. If you ever do want to double-check directly on Midwest's site, your placed orders show up in Midwest's own order history under your account.
